Bizdivers tracks a W-9 for every vendor and uses it to drive payment holds and 1099 eligibility, so tax season doesn't start with a folder hunt.
Two ways a W-9 gets in
By email: if you've set up email-to-invoice, vendors can send their W-9 to the same address. It's automatically recognized as a W-9 and appears in Workspace → Inbox under the W-9 tab.
By upload: go to Tax & Compliance → W-9 Documents and click Upload W-9. Drop in the PDF and click Upload & Extract. AI pulls out the taxpayer name, tax classification, and TIN, and shows you a confidence level. You can also upload directly from a vendor's tax section on the Vendors page.
Review and accept
- Every extracted W-9 starts as Pending Review. Click Review to check the extracted data against the document.
- Accept it and the vendor's W-9 status flips to On File; TINs are stored masked.
Keeping track
- The Vendors list has a W-9 column on every row (On File, Pending Review, or Required), so gaps are visible at a glance. Click the badge to jump to that vendor's tax details, including their 1099 Eligibility.
- Under Settings → AP Policy, you can require a W-9 before any payment goes out, or only for 1099-candidate vendors. A missing form then becomes a payment blocker instead of a year-end surprise.
Deleting a W-9 marks the vendor as missing one again, and payment holds and 1099 checks reapply automatically.
